How to Plan a Group Dinner Everyone Actually Enjoys

    October 8, 2026

Organizing dinner for ten, twenty or forty people sounds simple until you're the one doing it. Who's coming? What does everyone eat? Who pays? Here's a practical guide to planning a group dinner that runs smoothly from the first message to the last dessert.

Start With a Headcount and a Date

Before you call any restaurant, send a quick poll with two or three possible dates. Ask for a firm yes or no by a deadline. A realistic headcount is the single most useful thing you can give a restaurant — it decides which room, which table layout and which menu make sense.

Book early. Thursday to Saturday evenings fill quickly, and December books up weeks ahead for holiday parties.

    Choose a Shared Menu

The easiest way to feed a group is a set sharing menu. Instead of twenty people ordering twenty different dishes, plates arrive at the centre of the table and everyone tries a bit of everything. It's faster for the kitchen, simpler for the bill, and far more social.

Italian food is built for this. At Industria Pizzeria + Bar, group menus start at $30 per guest and lean on SFIZI sharing plates, classic Italian pizzas and fresh pasta served family-style.

    Ask About Allergies Up Front

Include one question in your poll: "Any allergies or dietary restrictions?" Pass the answers to the restaurant when you confirm. Vegetarian guests, gluten sensitivities and nut allergies are much easier to handle when the team knows in advance.

    Decide How the Bill Works

Settle this before the night, not at the end of it. Common options: the host or company pays one bill, everyone pays a fixed amount per person, or the set menu is covered and drinks are on each guest. A set price per guest makes splitting painless.

    Think About the Room

Large groups are happiest when they can hear each other. Ask whether the restaurant has a semi-private area, long tables or a patio in summer. Arrive a few minutes early to check the setup and greet guests.

    Plan a Simple Flow

A good group dinner has a rhythm: drinks and sharing plates as people arrive, mains once everyone is seated, then dessert and a toast. If there's a speech, a cake or a gift, tell the team so they can time it.
